Dear All,
Thank you Maria and Terpsi for your efforts.
Thomas has sent an e-mail earlier today, that he is only available until 13:30, and now I am seeing that all the other WP leaders also need to leave around then.
Therefore, we (WP1) would agree to keep the meeting short to go over the new agenda without the WP presentations (points 1,2,4).
If the review date is still set to the 14th of May, we are still prepared to go over points 1-4 while taking into consideration the short time frame (11:00 - ca.13:00).
Best regards,
Yara / Thomas Stieglitz

Subject: [EXTERN] [All_biofine] Technical report and plan for tomorrow
Dear all,
Sorry for spamming you today but hopefully, once the review is set and over, we will come to a quieter period in the project.
This time I write on two topics:
1. Technical report – thank you everyone for the huge efforts invested into completing the draft! There are some final edits to be made, but we are very close to the finish line. I attach the pre-final version here in “normal” word format, for your preview.
IF the review takes place on the 14th of May, then we will need to submit this draft by Tuesday next week. Given how far we are, I would say it is doable and I will aim to at least upload it on Tuesday even if we get a later review date.
1. Tomorrow, we have a rehearsal meeting scheduled, starting at 11.00. Terpsi and I had a small crisis meeting since we still have no response from the PO. This means we still do not know if she expects us to be ready on the 14th of May. We decided as follows.
We decided to go ahead and meet tomorrow at 11.00, with respect for everyone’s tight schedule and time, we keep this a focussed and informal meeting. We think it only makes sense to complete the entire review meeting agenda as a rehearsal, closer to the actual date, not a month before. We suggest instead the following condensed Agenda:
1. Sharing latest info from PO and discuss how to handle the situation given the lack of response from her side.
2. Browse through the report together, to note if there are still open points or comments from your side. The cosmetic edits will be done by me Monday latest, so no worries if it doesn’t look top notch just yet.
3. Browse through each WP presentation in order of appearance: WP1-5.
* Comment: We don’t need to sit through the 30 minutes with each, but can keep it shorter depending on your needs. Show how far you are with the slides and let us know where you need feedback. If your presentation is still work in progress it’s OK, mine is as well.
4. Input and ideas for the project overview presentation (Maria is main responsible) and the Dissemination and exploitation presentation (Thomas, you will be the expected presenter here).
>From all WP-leaders - assuming the PO comes back to us during the evening/morning with that 14th of May is off the table – would you prefer that we cancel the meeting tomorrow altogether or make a short meeting focusing on point 1 and 2 above?
Under the circumstances we think the plan above is the best way to proceed and we can adapt the meeting further to your needs. We really want to use your precious time wisely. We are as frustrated as you that it’s still unclear with the timing of this very important part of our project, and this already busy time of the year.
All the best,
Maria and Terpsi
